What Personal Data We Collect and Why

Registration Forms

When you register for the ECOpole conference through this website, we collect the personal information you provide, including your name, email address, affiliation, and any other details necessary for event organization and communication. This information is used solely for conference-related purposes and is not shared with third parties without your consent.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, along with the visitor’s IP address and browser user agent string to help with spam detection.

An anonymized string (hash) created from your email address may be provided to the Gravatar service to check if you are using it. The Gravatar privacy policy is available at: https://automattic.com/privacy/. After approval of your comment, your profile picture becomes publicly visible alongside your comment.

Media Uploads

If you upload images to the website (as a user or during registration), please ensure the files do not include embedded location data (EXIF GPS). Visitors may extract location data from publicly available images.

Cookies

If you leave a comment, you may opt-in to saving your name, email address, and website in cookies. These are for your convenience so you won’t need to re-enter your details when leaving another comment. These cookies will expire after one year.

When you visit the login page, a temporary cookie is set to check if your browser accepts cookies. It contains no personal data and is discarded when you close your browser.

When you log in, we set cookies to save your login information and screen display preferences. Login cookies last for two days; screen option cookies last for a year. Selecting “Remember Me” extends login cookies to two weeks. Logging out removes login cookies.

If you edit or publish an article (administrators only), a cookie is stored in your browser indicating the article’s ID. It contains no personal data and expires after one day.

If you do not wish to be included in any photos or recordings, please contact the organizers in advance at waclawek@ecesociety.com, or notify the staff at the registration desk during the event.

  • Spam protection services
  • Conference logistics (e.g., issuing certificates or invoices)

If you request a password reset, your IP address will be included in the reset email.


How Long We Retain Your Data

If you leave a comment, the comment and its metadata are retained indefinitely to facilitate automatic approval of follow-up comments.

If you submit a registration form, your data is stored securely and retained only for as long as necessary for conference organization and legal or archiving purposes.

Registered users (if any) may view, edit, or delete their personal information at any time (except usernames). Website administrators may also access and update user data.
